From signed to live in days, not weeks.

Walk your team through every step to get a community live on Entraris — from the data you need to gather, through onboarding, to sending welcome emails to residents.

Before you start

What to gather.

  • Community name, street address, and billing contact
  • Company logo file (PNG or JPG)
  • Property / unit address list (CSV)
  • Existing resident & vehicle data export from your gate vendor
  • Credential inventory (clickers, RFID tags, fobs, cards)
  • Names & emails for community admin portal users
  • Preferred data mode: Residents mode or Property mode

Onboarding by license

Phased paths.

Basic same day

  1. Request a Basic license
  2. Enter community profile & logo
  3. Upload & map callbox directory CSV
  4. Create community admin portal users
  5. Community is live

Standard 1–2 days

  1. Request a Standard license
  2. Upload & map address CSV
  3. Configure data mode, vehicles, credentials
  4. Upload resident CSV; reconcile holding
  5. Create admins; send welcome emails; go live

Fresh Start 1–6 weeks

  1. Request a Fresh Start license; load addresses
  2. Configure campaign settings & deadline
  3. Generate keys; invite homeowners; monitor board
  4. Resolve unidentified reviews; close campaign
  5. Create admins; ongoing portal opens

Fresh Start Only 1–6 weeks

  1. Choose Fresh Start Only; load addresses (email optional)
  2. Pay the one-time collection fee from home count
  3. Set start and end dates (max 45 days)
  4. Invites send at 9:00 AM Eastern; weekly reminders follow
  5. Export MyQ / submissions; archive after the 30-day window

Post-launch

Checklist & tips.

  • Confirm all community admins can log in
  • Verify welcome email delivery for resident portal users
  • Test a resident magic-link login end-to-end
  • Confirm the open-request badge on the vendor dashboard
  • Review billing cycle start date and rates
  • Optional: enable Scheduling from Account → Scheduling, then finish hours and the technician roster
  • Archive the original CSV exports in your records
  • Finalize addresses before loading residents

    Re-uploading after residents are loaded requires a full redo of resident data.

  • Use the holding queue

    Unmatched rows represent real people; work through them before calling onboarding complete.

  • Set campaign deadlines generously

    Allow at least two weeks and schedule mid-campaign follow-up for non-responders.
