Scheduling

Dispatch gate and access work without leaving Entraris.

Optional field scheduling for access vendors — office calendar, technician run sheets, and community work orders in one place.

Book visits across licensed communities and address-book clients, keep technicians moving with a Today run sheet, and give requestors a clear way to ask for help — without a second dispatch product.

How it works

One work order, from intake to the truck.

  1. 01 Request

Community managers, address-book clients, or the office open a work order with gate-centric categories — not a blank email.

  2. 02 Book

Schedulers assign technicians, windows, and travel buffers on the calendar. Unscheduled work stays in the inbox until it is booked.

  3. 03 Run the day

Technicians work from Today: on the way, arrive, leave. The board flags late stops, returns, parts, and leftover visits.

  4. 04 Close the loop

Requestors get status, notes, and shared photos. Billing prep packets roll hours and PO onto your books — not Entraris invoices.

Office dispatch

See the day. Book the right tech. Clear exceptions.

Schedulers work from a calendar and an exception board — unscheduled requests, late stops, returns, parts, and fleet status — instead of scattered texts and spreadsheets.

  • Day and week calendar

Assign jobs, projects, and sales calls across technicians with travel buffers and company work hours.

  • Inbox to visit

Unscheduled work orders wait in the inbox. Once booked, the visit page is the home for that stop.

  • Exception board

Prior open work, late arrivals, returns, and parts queues stay visible until they are resolved.

  • Can’t Continue disposition

When a tech cannot finish, leftover visits stay with the office — keep, push, reassign, hand off, or cancel.

  • Fleet on the map

See who is on the way and who is on site while technicians share location during an active visit.

  • Roles that fit the desk

Admins, managers, and schedulers keep office control; technician logins stay focused on the run sheet.

In the field

A Today run sheet built for technicians.

Entraris Today is installable on the phone. Techs mark en route, arrive, and leave — with clear outcomes when work needs a return or cannot continue.

  • Status that drives updates

Requestors get lifecycle emails and optional SMS ETAs as the visit progresses.

  • Notes and photos on the job

Finished community and client visits need notes for the requestor. Share selected visit photos when it helps.

  • Parts, truck, and returns

Part requests, return visits, and truck stock stay on the board until the office closes them out.

  • Time off and available work

Technicians request time off and can pick up leftover work the office has made available.

Add Today to the Home Screen when you have a signal. Scheduling is online-only — there is no offline queue.

Who can request work

Communities and clients already in your world.

  1. 01 Community managers

Submit categorized work orders from the community portal when your company has Scheduling enabled. They track status — they do not pick dates or cancel.

  2. 02 Address-book clients

Magic-link service portals let clients submit and track work without a full Entraris login — including from the home page Service Requests tab.

  3. 03 Office intake

Schedulers log calls, convert leads, and keep the same gate-centric categories the field team already knows.

Household and directory changes still go through the vendor request dashboard — not Scheduling.

Gate-centric work

Categories the site already understands.

Requestors pick a card — hold open, not working, hit, install, PM, programming, estimate, or something else — so intake is structured before anyone books a window.

  • Hold gates open for a move-in, delivery, or construction
  • Something is not working — gate, reader, loop, or callbox
  • Hit or damaged equipment
  • New install or upgrade
  • Preventive maintenance
  • Programming, schedules, or holiday hours
  • Estimate or walkthrough
  • Something else that still belongs on a work order

Operations around the visit

The rest of the day stays in the same workspace.

  • Address book, leads, and sites

Licensed communities, address-book clients, and sales leads share one scheduling workspace, with site notes for the crew.

  • Search the portfolio

Find a work order, site, or PO without leaving Scheduling.

  • Log past work

Record completed field work that never started as an inbox request — still on the same record.

  • Billing prep packets

Hours, PO, and billable class roll into packets your team marks billed on your books. Entraris bills the Scheduling add-on separately and does not invoice individual field jobs.

Optional company add-on

Scheduling that belongs with your directory — not beside it.

Scheduling is a company-level monthly add-on for gate and access teams already running Entraris. Enable it during company get-started, or later from Account → Scheduling or Billing. The first period is prorated onto your current cycle; after that it appears on the monthly invoice. Cancel from Billing at period-end and keep prepaid access through the cycle.

Setup is hours and the technician roster. Until that is done, calendar, parts, leads, and available work stay locked. It focuses on dispatch and field execution for the sites and clients you already serve — without replacing your accounting stack.

Common questions

Before you enable it.

Does Scheduling replace the change-request dashboard?

No. Household, vehicle, and directory changes still go through the vendor request dashboard. Scheduling is for field work orders — gates, readers, installs, hold-opens, and the visits that follow.

Can community managers pick a date or cancel a visit?

No. Managers submit categorized requests and track status — received, scheduled window, on the way, on site, completed notes, and shared photos when the technician opts in. Dates and cancellations stay with the vendor office.

How do clients who are not a licensed community request work?

Add them to the Scheduling address book and send a magic-link service portal. They can also start from the Entraris home page → Service Requests using the email on file. They stay signed in and track work orders at the service portal.

Does Entraris invoice my field jobs?

No. Billing prep packets are for your own books. Entraris bills the Scheduling SaaS add-on as a company line on your monthly invoice. Field job amounts stay between you and the site.
